The evidence file

The document everything revolves around: AI inventory, responsible person, internal rules, DPA status, training status of all staff with check IDs and the acknowledgement log — printed at the press of a button or as a PDF. Exactly what business customers ask for in supplier questionnaires and what auditors ask for first.

Training with publicly verifiable certificates

Your staff train themselves, at their own pace (40–50 minutes). Each person receives a certificate with a check ID that any third party can verify against our database at klarcomply.com/verify — that is what sets the record apart from any click-course PDF. Certificates are valid for twelve months; the refresh is included in the subscription.

Change notices and acknowledgement log

New tool approved, rule changed, legal position moved? You publish a notice, your team confirms with one click — logged without gaps. If the legal position changes materially, we get in touch ourselves.

Honest contract mechanics

Cancelling works via the cancellation button on every page (Section 312k German Civil Code). Your certificates remain valid and verifiable under their check ID until their respective expiry date even after the contract ends, and the evidence file can be printed and kept before the end. What ends is the ongoing service — not your evidence.

Your logo on certificates and the evidence file

Uploaded in the dashboard, your company logo appears on your staff's certificates, on the public verification page and in the letterhead of the evidence file. A record becomes your document.

Expert check of your documents — once every twelve months

You request the review with one click, we reply in writing within five working days: we check your AI inventory tool by tool, your policy for the mandatory components and your labelling rule — and you receive a prioritised list of actions. We only see inventory, policy and labelling rule, no staff data; the review takes place only at your request, and every access is logged.

Multiple administrators

Appoint further admins without stepping back yourself — for instance per site or department. Removing them works the same way; at least one administering person always remains.

Multiple sites, assigned in the file

Create sites and assign your team — the training record in the file shows the site per person. A site is a place of business of the same legal entity, not a second company: certificates and file always carry your company name, and creating a site logs a declaration to exactly that effect.

Personal onboarding

For up to 100 seats we set things up together: company details, initial inventory, roles and sites — so that the start does not hinge on the setup. Above 100 seats (Enterprise) every collaboration begins with a conversation.
